Automation and AI integration
We take over recurring work that costs time today: reading documents, moving data between programs, triggering processes. We use AI where it helps reliably.
Discuss your processWho it is for
For businesses where the same steps come up every week: typing in orders, reconciling lists, sorting emails, copying data from one program into another.
Typical starting points
- Orders, delivery notes or forms arrive by email and are entered into the system by hand.
- The same data is kept in several programs and drifts apart.
- Staff spend hours copying, reconciling and following up.
- Typing errors only surface when a customer complains.
How we approach it
First we look at how the process runs today: where does the data come from, who checks what, where does it need to end up? After that it is clear which part can be automated and which should stay with people.
Where there are fixed rules, we automate without AI. That is cheaper and predictable. AI comes in where documents have no fixed format, for example orders from many different customers.
Every automation gets a review step: clear cases go through, unclear ones go to your team for checking. Errors are reported, not swallowed.
Where AI reaches its limits
- AI reads documents and matches data, but it makes mistakes. Anything involving money or contracts needs a review or fixed rules.
- We do not leave tax or legal decisions to AI.
- If personal data is sent to an AI provider, that requires a data processing agreement and a check of which data is really needed.
- AI providers charge per request. These costs come on top of the project and care price and can be estimated in advance.
What is included
- Analysis of the existing process
- Automation of email inboxes, documents and forms
- Connection to ERP and inventory systems via API, EDI or file
- AI reading of documents without a fixed format
- Review interface for unclear cases
- Error notifications and a log
What is not included
- Third-party fees, for example for AI APIs
- Changes to your ERP system itself
- Tax or legal decisions
What it costs
We quote the price after analysing the process, in a written quote. For ongoing operation there is the Automation Care plan at €349 a month: monitoring of up to two defined automations, error monitoring and up to 60 minutes of small adjustments per month.
Care plans and pricingProcess
Intro call, written quote with a fixed scope and price, delivery with interim versions you can review. Afterwards, care at a monthly price if you want it.
The process in detailIn practice
ORDIOClient project, AI order intake for a technical wholesaler
Customer orders in any format are read automatically, matched to the wholesaler's own items and transferred to the ERP system.
Frequently asked questions
Do I have to replace my existing system?
No. The automation is connected to what you have: via an API, EDI or file exchange. Which route is possible we clarify in the intro call.
What happens if the AI reads something wrong?
Unclear cases do not go through automatically; they go to your team for review. What counts as clear and may pass through, we define together.
When is an automation worth it?
When the same task comes up every week, follows clear rules and errors or delays cost money. If that is not the case, we will tell you.
Where is the data processed?
That is decided before the start: on your own server or with a hosting provider. ORDIO, for example, runs on the client's server.
Which work should your team stop doing by hand?
In an intro call we work out where automation pays off. No obligation.
